Follow-Up System Guide

Oppy’s follow-up system automatically re-engages contacts who haven’t responded. Unlike traditional email sequences, each follow-up message is uniquely generated by AI using fresh context about the contact and conversation.


How It Works (Overview)

  1. Your Oppy sends a message (or makes a call) to a contact
  2. Contact doesn’t respond within a configured time
  3. AI analyzes the conversation — timing, context, contact data
  4. AI generates a unique follow-up — not from a template, but freshly written
  5. Message is delivered via the same channel (SMS, email, etc.)
  6. Repeat until the contact responds, opts out, or max attempts reached

Enabling Follow-Up

From the Oppy Settings

  1. Go to your Oppy’s settings at app.oppy.pro
  2. Navigate to the Follow-Up tab
  3. Toggle Enable Follow-Up on
  4. Configure your preferences (see below)

From the Account Concierge

Fixed Schedule

Set a specific interval (e.g., every 3 days). The AI generates a unique message each time, but the timing is predictable.

Auto Schedule (AI-Determined Timing)

The AI analyzes the conversation and decides the best time to follow up. It considers:

  • How engaged the contact was
  • What time zone they’re in
  • How long since the last message
  • Whether they asked to be contacted later
  • Day of week and time of day

Example: If someone said “I’m not ready for 6 months,” the AI might schedule the next follow-up for 5.5 months later instead of the usual 3 days.


What Makes Follow-Up Messages Special

Not a Template — Freshly Generated

Each follow-up goes through a 12-step AI generation pipeline:

  1. AI reviews the full conversation history
  2. Identifies what functions/tools might help (web search, contact lookup)
  3. Executes those functions to gather fresh context
  4. Generates 6 different message variants:
    • Informative (fact-based, ~70 words)
    • FOMO (urgency/scarcity, ~40 words)
    • Short (concise)
    • Empathetic (understanding)
    • Critical (time-sensitive, ~45 words)
    • Creative (unique approach)
  5. Runs a safety check on all variants
  6. A “critic” AI picks the best one

Context-Aware

Before generating, the AI:

  • Checks if anything has changed since the last message
  • Looks up recent contact notes
  • Can search the internet for relevant news (e.g., “your neighbor’s house just sold”)
  • Reviews the contact’s history and preferences

Progressive Tone

The AI automatically varies its approach:

  • First follow-up: Warm, reference something specific from the conversation
  • Second follow-up: Add value — share a relevant resource or insight
  • Third follow-up: Direct and concise
  • Later follow-ups: Creative, surprising, increasingly brief
  • After many attempts: Simple message like just their name and a question mark

Follow-Up Instructions in Your Prompt

You can guide the follow-up behavior through your Oppy’s prompt:

FOLLOW-UP GUIDELINES:
- First follow-up: Reference their specific property interest from our conversation
- Second follow-up: Share a relevant market update for their area
- Third follow-up: Simple "Hey [name], still interested in [area]?"
- After 5 attempts with no response: Stop following up

Rules:
- Never use their first name in back-to-back messages
- Don't say "it's been a while" if it's been less than 24 hours
- Avoid generic phrases like "just checking in" or "touching base"
- On major holidays: Skip follow-up, reschedule for next business day
- Include a specific fact or data point in every follow-up

Managing Follow-Up Per Conversation

Each conversation inherits the Oppy’s follow-up settings, but you can override them individually:

Disable for One Contact

In the conversation settings, uncheck “Auto Follow-Up.” The Oppy will stop following up with just that person.

Auto Schedule

Check “Auto Schedule” on a specific conversation to let the AI determine timing, even if the Oppy defaults to fixed schedule.

Manual Trigger

You can also manually trigger a follow-up from any conversation.


Monitoring Follow-Up

Dashboard View

On the Conversations page at app.oppy.pro, you can see:

  • Which conversations have follow-up scheduled
  • When the next follow-up is due
  • How many follow-ups have been sent
  • Contact response status

Follow-Up Analytics

Via the Account Concierge:

  • “How many follow-ups did your ISA Oppy send this week?”
  • “What’s the response rate on follow-ups?”
  • “Show me contacts who responded after 3+ follow-ups”

Business Hours & Timing

Business Hours Window

Default: 8:00 AM - 6:00 PM in the contact’s timezone

If a follow-up is scheduled for 2:00 AM, it automatically shifts to 8:00 AM. The system uses the contact’s timezone (TZInfo format, e.g., America/New_York).

Weekend Handling

When “Skip Weekends” is enabled:

  • Friday evening follow-ups → shift to Monday morning
  • Saturday/Sunday → shift to Monday morning

Holiday Awareness

The AI naturally avoids major holidays when in auto-schedule mode. You can also add explicit instructions:

Do not follow up on: Thanksgiving, Christmas Eve/Day, New Year's Day.
Reschedule any holiday follow-ups to the next business day.

Follow-Up Prompt Cookbook

Copy-paste these into your Oppy’s prompt and customize:

Conservative (First-Time Setup)

FOLLOW-UP RULES:
- Maximum 3 follow-up attempts
- Wait 3 days between each
- Respect business hours (8am-6pm contact timezone)
- Skip weekends
- First follow-up: reference something specific from our conversation
- Second: share one useful piece of information (market data, resource)
- Third: simple "Hi [name], still thinking about [topic]?"
- After 3 attempts with no response: stop and close conversation

Aggressive (High-Volume Outbound)

FOLLOW-UP RULES:
- Up to 7 follow-up attempts
- First 3: every 2 days
- Next 2: every 5 days  
- Final 2: every 14 days
- Before each follow-up, search the web for something relevant 
  to the contact's area or industry
- Vary tone: informative, then urgent, then casual, then creative
- After attempt 5, get very concise (just their name + question mark)
- After 7 with no response: stop

Smart Re-Engagement (Cold Leads)

FOLLOW-UP RULES:
- Use auto-schedule (let AI pick timing)
- Before each message, check:
  1. Any new notes on the contact since last touch?
  2. Recent home sales near their address?
  3. Any market news relevant to their stated interests?
- Reference specific details from the original conversation
- After 3 touches, ask directly: "Should I stop reaching out, 
  or would you prefer I check back in a few months?"
- If they say "few months", schedule for 2.5 months out

The follow-up system has built-in protections:

  • If someone says “stop,” “unsubscribe,” or “don’t contact me” → follow-up automatically stops
  • The contact gets tagged dnc
  • The Oppy enters standby mode for that conversation
  • An admin is notified
  • The contact is marked in the system to prevent future outreach from ANY Oppy

Common Scenarios

Facebook Lead Ads at Scale (Citywide Realty Case Study)

One of the earliest Oppy campaigns ran through Citywide Realty using Facebook listing lead gen ads:

  • CPL: ~$10 per lead
  • Volume: ~200 leads generated
  • Qualified leads raised to human team: 15-20 (7.5-10% qualification rate)

  1. Create an Oppy (or use existing) with webinar-specific prompt

  4. Enable follow-up for non-responders
  5. AI personalizes each follow-up based on whether they engaged, what they asked, etc.

Ghost Lead Recovery

“I talked to someone 3 weeks ago and they stopped responding.”

If follow-up is enabled, the Oppy has likely already been reaching out. Check the conversation to see what’s been sent. If not, you can manually trigger a follow-up or ask the concierge to re-engage.
